J&J Innovative Medicine is hiring for the position of Executive Assistant.
The Executive Assistant to the Regional Commercial Strategy Lead (RSCL) plays a crucial role in providing comprehensive support to the RSCL and managing the organization’s office operations, including virtual collaboration across the EMEA region. This dynamic position requires the ability to anticipate needs, think critically, and propose effective solutions to problems, all while maintaining a high level of integrity and confidentiality.
Key Responsibilities
Operate under minimal supervision to perform sophisticated administrative duties, including but not limited to the following:
- Maintain and actively handle a complex and changeable calendar and work closely and proactively with RSCL to effectively handle commitments, travel and meeting schedules.
- Support RSCL to actively handle sophisticated and challenging work priorities to increase efficiency and support careful prioritization.
- Support in scheduling and organizing complex meeting and travel arrangements and expense management including flight and train bookings/ changes, when necessary managing ground transfers and accommodations.
- Handle logistics and organization of key internal and external meetings including regional scientific congresses under the leadership of RSCL and other supported senior leaders and ensure all expectations are met e.g. timings, venue, budget, transport arrangements, health care compliance submissions, etc.
- Find opportunities to improve team processes and take lead in or co-ordinate projects that enhance team efficiency including budget management, onboarding new team members and updating organization charts, MS Teams channels and distribution lists.
- Co-ordinate and organize logistics for RCSL and on-site key leadership forums such as the ESO Leadership Team, including visitor registration, photocopying, office/ meeting room booking, catering and A/V support.
- Foster a sense of urgency and manage priorities appropriately. This will be achieved by developing a close working relationship with the RSCL and team to gain a greater insight into the key factors to consider when prioritizing demands.
- Take appropriate and proactive actions in a rigorous and autonomous manner to satisfy expectations and respect commitments – ensure Managers are informed and aligned of actions taken.
- Execute consistent and precise follow-up by ensuring issues are resolved and projects completed.
- Support ESO assistant network by sharing best practices and continuously learning from others and through company channels including Summit, LinkedIn and taking advantage of other personal development resources.
- Have good professional interpersonal skills, representing the office including communications with different level of employees, internal and external customers and partners.
- Act customer and employee focused, able to prioritize and work under minimal direction, and demonstrate resilience and high productivity in a fast-paced environment.
- Excellent spoken and written English skills.
- Comfortable working with and connecting to a cross-regional, cross-cultural team.
- Strong collaboration skills.
- Proficient in PC skills, with expertise in efficiency and technology tools, and familiar with Microsoft Office programs (Outlook, Word, Excel, PowerPoint) as well as virtual collaboration tools (Zoom, Teams).
- Excellent communication skills and outstanding interpersonal abilities, with the capability to work cooperatively and collaboratively with others.
- Strong organizational skills, along with excellent judgment and reasoning abilities.
- Proactive and capable of working independently.
- Awareness of and adherence to J&J Credo values, SOPs, policies, and guidelines.
